How Lumio Private School built a digital ecosystem from day one and earned a place on the regional map
When a school opens its doors for the first time, the first year is rarely about setting records. It is about survival, about making sure the lights stay on, the timetables hold, and the teachers feel supported. For Lumio Private School, which welcomed its first students in September 2024, the ambition was always higher than that. And ambition requires the right foundation.
Several months into its first academic year, Lumio recognised that building a genuinely modern learning environment meant more than acquiring tools and devices. Rather, it meant putting the right structures, policies, and expertise in place and doing it properly. That recognition led to a partnership with Gear Education, a Google for Education Professional Development partner and regional consultant.
What followed set Lumio on a path that, by the end of its inaugural year, would see it nominated for the Google for Education Reference Program following its recent application – a distinction that, if confirmed, would make it the first school in Cyprus and Greece to hold the designation. It had already claimed another regional first: the only school in the two countries to run a full 1-to-1 Chromebook programme across multiple grade levels.
Neither milestone arrived by accident. They were the result of a deliberate, step-by-step process, one that began with strong foundations as the top priority.
Getting the Foundation Right
Gear Education stepped into a live school, meaning, one already in motion, already teaching. The first task was to build something stable for longevity rather than introducing something flashy for a wow-factor.
The priority was the backbone: Google Workspace for Education Plus. Before any device was discussed, Gear Education worked alongside Lumio’s leadership and IT team to configure administrative identities, establish domain structures, define user roles, and align governance policies with the realities of classroom life. Security settings were set deliberately. Access controls were reviewed. Data management protocols were put in place with growth in mind.
Crucially, staff training was built into it from the start, woven into the process of building the environment itself. Teachers explored tools in practice. IT teams grew familiar with the Google Admin Console before a single device arrived.
The system had to become stable before it became visible.
The Region’s First 1-to-1 Chromebook Programme
With the infrastructure in place, the conversation about devices could begin properly. Through Gear Education’s position within the Google for Education ecosystem, Lumio secured Chromebooks with full lifecycle planning from the outset with warranty coverage and accidental damage protection built into the procurement structure.
By the time the devices arrived, the ecosystem they depended on was already functioning. The 1-to-1 programme covered students in grades 4 through 10. Every student device connects directly to the school’s Google Workspace for Education account, creating a consistent entry point into learning materials, assignments, and communication.
“My Chromebook is basically my tool for imagination, whether I’m creating a game or doing research.”
– Robert, Grade 5 Student at Lumio Private School
For IT, Chrome Education Upgrade and the Google Admin Console centralized device management across the entire fleet.
“Managing a fleet of devices across multiple grades used to be a logistical hurdle. Now, with Chrome Education Upgrade and Google SSO, provisioning a device takes minutes, not hours. Everything is centralized.”
– Tom Barud, IT Specialist and Google Admin at Lumio Private School
In the classroom, the shift was equally impactful. Released in early 2025 as part of Google Workspace for Education Plus, Google Class Tools gives teachers real-time control over student Chromebooks enabling them to push websites to screens, lock devices to maintain focus, monitor activity, and provide live captions and translations.
Setup is immediate, pulling directly from existing Google Classroom rosters. Now that device management lives inside Google Classroom, creating an even greater ecosystem of tools, teachers can hold lessons without ever stepping outside the environment their students are already in.
“The transition to a 1-to-1 environment has removed the ‘tech friction’ from my lessons. Because the tools are consistent, I can focus on teaching rather than troubleshooting.”
– Dawn Brand Lillywhite, Educator at Lumio Private School
Safeguarding was and remains a priority. Jamf Safe Internet extended Lumio’s existing Jamf K12 environment to cover the Chromebook fleet, ensuring that content filtering aligned with the school’s responsibilities and with the governance standards expected of institutions pursuing Reference School status. Protection and policy evolved together.
A Year That Earned Recognition
As Lumio’s first year drew to a close, the coherence of what had been built began to stand out. Device deployment, policy alignment, educator onboarding, and classroom integration had been handled as parts of a whole workflow. They had evolved together, and the result was a school whose digital systems felt embedded in the rhythm of everyday learning.
Following that year of growth, Gear Education nominated Lumio to apply for the Google for Education Reference Program. The programme is invitation-only. It recognises institutions that demonstrate deep, system-wide adoption of Google for Education technologies, including Google Workspace for Education Plus and Chromebooks, alongside a clear commitment to professional development, evidenced through the Google Certified Educator program.
The application is rigorous. Schools must present documented evidence of educational impact, demonstrate operational maturity, and show readiness to support other institutions on similar journeys. Gear Education supported Lumio in preparing and submitting its materials by documenting the implementation journey, evidencing the governance structures, and ensuring alignment with publicly stated criteria.
The nomination is a reflection of what the year-long partnership made possible.
What It Means for the Region
Less than twelve months after opening, Lumio stands as something more than a new school finding its feet. Its Chromebook programme is a daily instructional platform. Its Google ecosystem functions as a unified operational environment. Its governance, content filtering, and professional development structures align with international benchmarks.
For Gear Education, the project demonstrates what sustained consultancy can accomplish when onboarding, procurement, deployment, training, and policy are treated as parts of a single process.
For Lumio, the result is a school shaped with purpose, built thoughtfully and consistently from the very beginning.
And for Cyprus and Greece, it offers a glimpse of what is possible when the ambition to get it right is matched by the patience to build it properly.
